Q. Where the Online Booking Manager will be installed ?
A. the software will be installed on your own or hosted server.

Q. Which are the requirements for the Online Booking Manager to properly run on your server ?
A. The server where the OBM will run from have to meet the following:
  • PHP support
  • MySQL support
  • must support dynamic loading at run-time of PHP extensions or must have ionCube support.

Q. Will this script work on an ISAPI PHP based webserver and work with a MS SQL Database ?
A. It will work on an isapi php based webserver but it will not work with a MS SQL server database, it requires a MySQL server database.

Q. How can I test my server in order to be asssured that meet your software requirements ?

Q. How much do you require for installing the Online Booking Manager on our server ?
A. The installation of the OBM on your server is free of charge.

We need you to supply us with temporary FTP and MySQL database access details.

Q. How long is it take to install the online reservation system on my server ?
A. Usually the installation process takes few hours (it depends on the internet connection).

Q. Is it complicated if I want to install the software by myself ?
A. The installation process is pretty simple:
  • you have to copy the php files (provided by us) on the server
  • you have to create the blank database and run a sql script (provided by us) in order to create and populate the tables.
  • you have to set the permissions for the images directories (where the images will be uploaded)

Q. The license, means that I can use the Online Booking Manager for every site I need (i.e. valid for a lot of domains) ?
A. No, the license is per domain, but you could call the installed Online Booking Manager on a licensed domain from other non-licensed domains by links, iframes, etc

Q. Did you charge any other commissions like a per reservation commission ?
A. No, the only charge is the license cost.

We are not asking for other fees (like monthly, yearly fees) or commissions from the reservations made through the Online Booking Manager.

The license is a lifetime license which means that it will never expire.

Q. I'd like to know which are the differences between the hotel, hostel and apartments versions ?
A. The main differences are:
  • on the hotel version the guests book rooms for a certain period of time.
  • on the hostel version the guests book beds in dormitories for a certain period of time.
  • on the apartments/flats version the guests book the whole property for a certain period of time.

Q. I'd like to know which are the differences between the chain and hotels portal versions ?
A. The main difference in concept between the chain and hotels portal versions is the invoicing engine's presence in the portal version which permits to the owner of the OBM to take a commission for each reservation made through the OBM portal. The chain version do not need this invoicing engine because the normal situation is that the owner of the OBM is the same with the one of the hotels and he has no reason to take reservation commissions from its own hotels.

Q. How Online Booking Manager handle payments?
A. Currently our system uses an internal algorithm to only verify common credit card numbers format validity, and right now the system handle the payments as following:
  • the guest enters the credit card information which will be at the hotel's administrator disposal through the hotel administrative panel; so the system retains the credit card information. The credit card information are stored into the database encrypted.
  • the hotel administrator, accordingly with its own policy could debit the credit card at the right time through a local POS.
Sample:
"Credit Card information is required in order to guarantee your reservation. Your credit card will be not charged until your arrival or departure or if the cancellation deadline has passed".

The Cancellation Policy can be set by the hotel administrator on the administrative panel.

If the Cancellation Policy will be something like that: "Free of charge if prior 30 days before your arrival date, 10% from the total cost of reservation if prior 1 week, 50% from the total cost of reservation if the reservation is cancelled if prior 48 hours before arrival" the hotel administrator can charge the guest credit card through a local POS with the calculated amount.

Q. Can we take the payment through an online merchant account instead of Credit Card ?
A. Yes, an "Online Payment Processor" optional module is available for all OBM products. For example here is the payment flow mechanism with a merchant account integrated (i.e. PayPal(standard)):
  • in the reservation process, when PayPal is used, the OBM will forward the guest to the PayPal instead of asking him/her about the credit card details.
  • after debiting the guest's account or credit card, if no errors occurred the PayPal returns in a success page which after doing some background operations (such us inserting the successful booking into the database) forwards the guest to the confirmation page of the OBM.
  • if an error occurred during the debit process then the PayPal returns in an error page which will forward the guest to the confirmation page of the OBM with an error message.
Currently the OBM has support only for the following online merchants / payment gateways: PayPal: Standard Integration; Authorize: SIM method; SagePay (ex ProtX): Form integration, Server integration; Barclays Bank: ePCI integration; RBS WorldPay (ex. WorldPay): HTML Redirect integration; Click And Buy; La Caixa; Servi Red; Pireaus Bank; Proxy Pay 3: Eurobank integration, EmporikiBank integration; Banca Sella; E-Path; WebAdvantage; Korta; Luottokunta; KasikornBank and PayBox.

In order to integrate other merchant account than the above, into the Online Booking Manager, you have to tell us which merchant account do you plan to use and give us the developer documentation about it if this information is not available for public access. After we will study the documentation we will come back to you with a quotation and necessary development time.

Q. How can we secure the sensitive information like Credit Card data?
A. The security of the server is a hosting matter, they might guarantee to you the security of the database. OBM store the credit cards on the database encrypted.

Also, we recommend to use a SSL certificate in order to secure the channel from the guest browser to the server where the Online Booking Manager is hosted.

The SSL certificate is not mandatory for the system to work but of course is mandatory if a secure channel (100% recommended) have to be established between guest's browser and your server. For the system's functionality it doesn't matter if you have or not a SSL certificate. We think that all the administrative part and all the booking pages that work with credit card information should be SSL secured.

Concluding, it is highly recommended to have a SSL for a better credit card security but this certificate should be purchased separately from the OBM licence

SSL FAQs

If a merchant account will be integrated a SSL certificate is no longer necessary because all the merchant accounts offer a secure space where the guests insert the sensitive information. Also, the Credit Cards will not be stored into the database.

Q. What is the "Custom Rates + Rate Plans" optional module?

A. Custom Rates:

  • you can manage(mod/add/delete) the custom rates list.
  • you can define a custom rate like:
    - as +/- and % / flat from the Standard Rates
    - as a new rate with new prices and periods
  • these custom rates are used for the Rate Plans
B. Rate Plans
  • you can manage(mod/add/delete) the available rate plans.
  • this section is useful if you want to manage the AAA members , Government/Military, AARP/Senior, Corporate etc rates

Q. What is the "Discounts" optional module?
A. You can manage discounts based on the length of stay.

A. You can manage(mod/add/delete) taxes (i.e city tax).

A. You can insert manually reservations received through other channels (front-desk, phone, etc).

Q. What is the "Online Payment Processor" optional module?
A. You will be able to set a deposit percentage to be taken at booking time through the merchant account.
